Step-by-Step Instructions

  1. Open the submission form
    Navigate to the maintenance request page. You can bookmark this page for quick access.
  2. Fill in your contact information
    Enter your name, email address, and optionally your phone number. Make sure your email is correct so we can contact you with updates.
  3. Select the location
    Choose the specific location where the maintenance issue is occurring from the dropdown menu.
  4. Choose urgency level
    Select Normal, Priority, or Emergency based on the severity of the issue. See the Urgency Levels section below for guidance.
  5. Describe the issue
    Provide a detailed description including:
    • What is broken or needs attention
    • When the problem started
    • Any safety concerns
    • Steps you've already tried (if any)
  6. Submit the request
    Click the "Submit Request" button. You'll receive a confirmation with a ticket number.

💡 Tip: Provide Photos if Possible

While the system doesn't currently support photo uploads, you can mention in your description that photos are available and include your contact information. Staff can follow up to request images if needed.

⚡ Understanding Urgency Levels

🟢 Normal - Regular Maintenance

Response Time: 24-48 hours

Use for:

Examples: Light bulb replacement, minor paint touch-ups, filter changes

🟡 Priority - Needs Prompt Attention

Response Time: Same day

Use for:

Examples: HVAC not working properly, door lock issues, water fountain not working

🔴 Emergency - Safety Concern or Critical Failure

Response Time: Immediate

Use for:

Examples: Gas leaks, electrical hazards, flooding, complete HVAC failure in extreme weather

⚠️ Emergency Protocol

For true emergencies, submit a ticket AND contact maintenance staff directly if phone numbers are provided on the submission page. Do not wait for email responses in emergency situations.
